Information We Collect

Depending on how you contact us and which services you use, we may collect information including:

  • Your name
  • Email address
  • Telephone number
  • Postal or billing address where required
  • Details of your enquiry
  • Details of repairs or services we have provided
  • Information required for invoicing and accounting
  • Website project and support information
  • Communications between you and Rapid PC Rescue
  • Technical information relating to computers, devices or websites we are working on
  • Information you voluntarily provide to us

When you use our website, certain technical information may also be collected, such as your IP address, browser type, device information, pages visited and the date and time of your visit.

Website Enquiries and Live Chat

If you contact us through our website, we normally ask only for the information needed to respond to your enquiry, such as your name, email address, telephone number and message.

Our website uses Tawk.to to provide live-chat functionality. Information you enter into the live chat may be processed through Tawk.to in order to provide this service.

Please avoid sending sensitive personal information through our contact forms or live chat unless it is necessary.

Computer Repairs and Customer Data

When diagnosing, repairing, upgrading, recovering, transferring or backing up a computer or other device, it may be necessary for us to access information stored on that device.

This may include personal files, photographs, documents, emails, account information or other data belonging to you.

We only access information where reasonably necessary to provide the service you have requested and do not intentionally inspect personal files that are unrelated to the work being carried out.

Devices may contain sensitive or special-category personal information. We do not seek to collect or use this information for our own purposes and aim to minimise unnecessary access to it.

Customers are encouraged to maintain a current backup of important information before providing a device for repair whenever possible.

Data Backup Services

Where we create or temporarily retain a copy of customer data as part of a backup, repair, recovery or data-transfer service, it is normally retained for up to 30 days after completion of the work.

After this period, the backup will normally be deleted unless we have specifically agreed another retention period with you.

Once the service has been completed, you remain responsible for maintaining your own long-term backups.

Remote Support

We use Zoho Assist to provide remote technical support.

Remote access is only carried out with your knowledge and permission.

During a remote-support session, we may be able to view information displayed on your screen and access files, settings or other information where necessary to complete the work you have requested.

Website Services and Client Data

When we build, maintain or provide technical support for a client’s website, we may occasionally have access to personal information controlled by that client, such as website enquiries, customer information, email accounts or e-commerce records.

Where we process this information solely on the client’s instructions, the client remains responsible for determining how and why that information is used, and Rapid PC Rescue acts on their behalf.

We only access such information where necessary to provide the agreed website or technical-support service.

Depending on the circumstances, we may rely on the following:

Contract

We may process information where it is necessary to provide a service you have requested or to take steps at your request before providing that service.

For example, we may need your contact details and information about your device or website in order to diagnose a problem, prepare a quotation or carry out repair work.

Legitimate Interests

We may process information where it is necessary for our legitimate business interests and those interests do not override your rights and freedoms.

These interests may include:

  • Maintaining records of previous work
  • Providing effective customer support
  • Supporting returning customers
  • Protecting our systems and website
  • Preventing fraud or misuse
  • Managing and improving our business
  • Establishing or defending legal claims

These services help us understand how our website is used, identify technical issues and improve the website.

Where analytics or similar technologies require consent, they are blocked until you make a choice through our cookie-management system.

We use Complianz to manage cookie consent on our website.

Our website uses cookies and similar technologies.

Some cookies are necessary for the website to function correctly. Other cookies, such as certain analytics cookies, are optional.

We do not sell personal information.

Where necessary to operate our business or provide our services, information may be processed by trusted service providers that provide services such as:

  • Website hosting
  • Email and communications
  • Live chat
  • Remote-support software
  • Accounting and invoicing
  • Website analytics

We only share information where reasonably necessary for the relevant service, where you have asked us to do so, or where required by law.

International Data Transfers

Some of the technology providers we use operate internationally and may process information outside the United Kingdom.

Where personal information is transferred internationally, we take reasonable steps to ensure that an appropriate lawful transfer mechanism or safeguard is in place as required by UK data protection law.

How Long We Keep Personal Information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected and for relevant legal, accounting, support or dispute-resolution requirements.

Our usual approach is:

  • Temporary customer backups: normally deleted within 30 days after completion of the service unless another period has been agreed.
  • Accounting, invoice and payment records: retained for the period required by applicable tax and accounting rules.
  • Repair and technical-support records: normally retained for up to 6 years after your last service or meaningful contact with us.
  • Website project and support records: normally retained for up to 6 years after the end of our working relationship, unless ongoing hosting, support or maintenance makes continued retention necessary.
  • Enquiries that do not result in work: retained only for as long as reasonably necessary to deal with the enquiry and reasonable follow-up.

We may retain information for longer where we are legally required to do so or where it is reasonably necessary in connection with a dispute or legal claim.

You may ask us to review or delete information we hold about you. We may need to retain certain information where we have a legal obligation or another lawful reason to keep it.

Security

We take reasonable technical and organisational measures to protect personal information against loss, misuse, unauthorised access, alteration or disclosure.

However, no electronic storage system, computer system or internet transmission can be guaranteed to be completely secure.

Your Data Protection Rights

Depending on the circumstances, UK data protection law may give you rights including:

  • The right to be informed about how your information is used
